Title

Consideration of and action on authorization to purchase an APC Smart-UPS under DIR Contract DIR-CPO-5093.

Body

Summary:

The current APC Symmetra UPS system, purchased in FY 2008-2009, has reached its end of life. We recommend replacing it with an APC Lithium-Ion Smart-UPS system, which offers a substantial improvement in battery runtime, extending it from 1 hour to 3 hours. Additionally, the Lithium-Ion Smart-UPS is designed to last 10 years, significantly outlasting the typical 3 to 4-year lifespan of traditional lead-acid batteries. On July 8, 2024, City Hall experienced a generator failure, resulting in IT equipment downtime after just one hour. With the extended runtime provided by the new system, the city will have greater flexibility to implement a short-term solution should a similar event occur in the future.

Fiscal/Budgetary Impact:

Budgeted in FY 2024-2025 in 010-200-49040, Machinery & Equipment - IT Services, $99,000.00

Project quote from CDW-G under DIR pricing $72,471.48

Estimated $26,500.00 under budgeted amount

Recommended action

Authorize purchasing APC Smart-UPS from CDW-G in the amount of $72,471.48 under DIR Contract DIR-CPO-5093.
