Consideration of and action on an ordinance to amend the Fiscal Year 2025-2026 General Fund Budget for the Police Department to migrate to Motorola CommandCentral Cloud.

Summary:
The Police Department’s in-house WatchGuard server reached end of life in 2024 and is no longer serviceable. Rather than purchase a new in-house server, staff is recommending transitioning to Motorola’s CommandCentral cloud environment. This system presents many operational advantages the PD would like to utilize. If a contract is signed by the end of March, the City benefits from a 30% discount on the package. The FY 2025-2026 General Fund budget did not include funding for this transition; therefore, a budget amendment is necessary to fully fund the project. The full cost for the migration is $60,458.75 over the next five years to be paid as outlined below:
Year 1 - $20,066.75
Years 2-5 - $10,098.00 annually.
A budget amendment in the amount of $21,000.00 is requested to fund year one’s cost. The amendment would be funded from the unassigned fund balance of the General Fund which is available for this purpose.
Fiscal/Budgetary Impact:
Add $21,000.00 to the fiscal year 2025-2026 General Fund Budget for the Police Department (010-300-42510, Subscriptions) to be funded by the unassigned fund balance of the General Fund, which is available for this purpose.
Recommended action
Approve the ordinance to amend the Fiscal Year 2025-2026 General Fund Budget for the Police Department to migrate to Motorola CommandCentral Cloud.
