Title
Consideration of and action on an ordinance amending the Fiscal Year 2018-2019 General Fund Budget for emergency repairs to the air conditioner at Fire Station #3.
Body
Summary:
The main control board of the HVAC system at Fire Station #3 went out in early December. The current system is a proprietary system that requires specific components from the manufacturer, but this system is no longer being supported by that manufacturer. While parts for the current system can be found, because they are becoming harder to acquire, the cost is much higher. As a result, to replace the single part that is no longer functioning would cost approximately $14,000.00. For a cost of $22,000.00, Johnson Controls will change out all of the proprietary parts and replace them with generic parts that can be maintained by City personnel significantly reducing future maintenance costs. The cost to change out all of these parts is $22,000. The current budget for the Fire Department includes $5,000.00 for Air Conditioner Maintenance. The City is requesting a budget amendment for the additional $22,000.00 to complete this specific repair and replacement by Johnson Controls, which is a BuyBoard vendor (#552-17).
Funding for this emergency expenditure is available in the General Fund Contingency budgeted in the General Government Department.
Fiscal/Budgetary Impact:
Increase the Fiscal Year 2018-2019 General Fund Budget for the Fire Department by $22,000.00 (Account No. 10-304-4409 - Air Conditioner Maintenance). This expenditure will be funded by the contingency line item included in the Fiscal Year 2018-2019 General Fund (Account No. 10-105-4510 - Contingency). Contingency funds of $500,000.00 were budgeted and are available for this purpose.
Recommended action
Approve the ordinance amending the Fiscal Year 2018-2019 General Fund Budget for the Fire Department.
